Senior Executive -Administration

AMCHAM Malaysia is an independent, member-supported business association focused on supporting U.S. businesses in Malaysia. Serving as a vital platform for information exchange, AMCHAM connects members with key stakeholders in both the Malaysian and U.S. governments. With a small, collaborative team (under 15 members), we strive to create a dynamic environment where employees can grow and challenge themselves in meaningful ways.

Position Overview: We’re looking for a Senior Executive – Administration to handle essential daily administrative tasks and ensure the smooth running of our office operations. This role involves office logistics, finance management, compliance, and supporting HR processes, all while fostering a productive and organized workplace. The ideal candidate will have exceptional organizational skills, attention to detail, and a proactive mindset.

Key Responsibilities:

Office Administration:

  • Oversee daily office operations, including supplies, vendor management, and office maintenance.
  • Organize and maintain both physical and digital filing systems to ensure accessibility and confidentiality.
  • Track office expenses and identify opportunities for cost-effective operations.
  • Ensure compliance with health, safety, and environmental regulations.
  • Serve as the main point of contact for all office-related communications.
  • Manage vendor payments and follow up on outstanding balances.
  • Review employee claims to ensure compliance with company policies.
  • Monitor and track contracts, including renewal and expiration dates.

Human Resource Support:

  • Maintain and update employee files in line with legal and company requirements.
  • Manage leave applications and track attendance records.
  • Assist with recruitment, including job postings and interview scheduling.
  • Support the onboarding process for new hires, particularly with administrative tasks.
  • Help implement and enforce policies from the Employee Handbook.
  • Perform any other duties assigned by the CEO.

Requirements:

  • A bachelor’s degree in business administration, HR management, or a related field is preferred.
  • 3+ years of experience in office administration or HR administrative roles.
  • Proficiency in Google Workspace and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong organizational, communication, and interpersonal skills.
  • Interest in AI tools for productivity is a plus!
